Admissions Representative

California Institute of Arts & Technology is a private vocational college located in Mission Valley. We offer I.T. degrees and certifications and are nationally accredited by ACCET. We are rapidly growing and looking to expand our Admissions team. We are hiring 2-4 admissions representatives to start at our Mission Valley Campus. If hired, you will be required to relocate to our Chula Vista campus in August. We are looking for experienced sales backgrounds to join our fast paced environment. Previous sales or experience working in higher education is a must.

Duties/Responsibilities and Requirements

  • Contact prospective students and assist them with getting started on the path to enrollment, address any questions or concerns regarding the enrollment process regarding the programs of interest.
  • Knowing, understanding, and being able to articulate the academic programs and general procedures of CIAT.
  • Contact prospective students via telephone within 1 hour of receiving inquiry, informing them about CIAT programs and certificates.
  • Participate in ethical and compliant recruitment policies in regards to enrollment activities with prospective students.
  • Knowing and following regulations associated with the Family Education Rights and Privacy Act (FERPA) in regards to distribution of student information.
  • Correctly provide requested information or direct prospective students to the appropriate departments as necessary.
  • Answer emails, calls or voicemails within 24 hours, or inform students when they can expect requested information within 24 hours.
  • Consistently update prospective students on important upcoming class, attendance issues and Satisfactory Academic Policies.
  • Consistently, stay updated on CIAT policies and procedure, as provided by CIAT.
  • All other duties as assigned by management.
  • Minimum of one year of Educational experience or successful sales experience.
  • Proficiency with Microsoft office and ability to learn new systems
  • Demonstrate experience in telephone customer service and sales environment.
  • General knowledge of proprietary higher learning market and industry.
  • Demonstrated a proven track record of success in achieving Admission goals or sales goals.
  • General understanding of business, technology, education and programs of studies CIAT offers.
  • Strong working knowledge of US military Reserves, Veterans, Active duty and spousal educational benefits.

Skills and Abilities

Student Records Specialist

California Institute of Arts & Technology is looking for a Student Records Specialist to join our team. We’re a rapidly growing vocational college specializing in I.T. degrees and certifications located in Mission Valley and expanding to National City in the fall. The idea candidate will have experience managing a student record database.

Duties/Responsibilities and Requirements

Responsible for ongoing student record system (Campus Nexus Student) maintenance, input/output of data and staff training to successfully ensure the following:

  • Work with the Registrar to provide accurate class rosters, instructor and room assignments.
  • Provide quality of student service.
  • Ensure students are able to login and check schedules, see grades/attendance and print unofficial transcripts
  • Initiate and track timely and accurate communications with students, faculty and staff of upcoming class assignments at least two weeks prior to a semester and other communications as needed.
  • Campus Management system configuration-work with Campus and CIAT staff to configure and optimize Campus to reach its potential
  • Help with integrating Campus with Canvas processes when appropriate and practical.
  • Assist Finance to implement Campus’s financial portal and capabilities.
  • Transcript Evaluation-Ensure student transcripts are collected, evaluated, appropriate credit is given, results are communicated to students and CIAT staff. Update student records in Campus.
  • Attend Registrar/Student Record’s events, conferences or webinars as available. Ensure CIAT is using best practices in accordance with industry association and accreditation standards.
  • Perform other duties as assigned.

Knowledge, Skills, & Abilities:

  • Strong communication and organizational skills.
  • Must be energetic and friendly
  • Extremely proficient in Microsoft Office, Excel in particular, email, student database, internet and other related areas.

Qualifications and Education Requirements:

  • Associate’s degree
  • 3 years data entry experience

  • Providing classroom learning, online learning and lab learning. Configuring classrooms with equipment and teaching aids.
  • Working with various learning platforms including Adobe Connect.
  • Providing student support via telephone and email. Tracking grades and attendance and providing updates to the registrar on a weekly basis.
  • Attending faculty meetings, open houses and student/instructor events.

Requirements:

• Minimum of a A.A. degree and three years of teaching experience. Prefer bachelor or Masters degree.

• Must possess I.T. certifications, preferably have a current CCNP and Cisco Academy Instructor status.

• Local applicants only. Must be able to commute to San Diego daily. No relocation is provided.

• Must be able to work in the U.S. without sponsorship.
